Privacy and security guidelines
The following privacy and security guidelines must be adhered to when using Maileon.
Security

As the sender you are the owner of the mailing. Only select the contacts for whom the mail is intended.

Within the internal mailing environment, you may only select lists of students and staff affiliated with your own faculty or expertise centre. The relevant list can be identified by its name.

To mail more widely than students and staff from your own faculty or expertise centre, please contact communicatie@leidenuniv.nl.

Never share your ULCN login details.

Privacy guidelines for Maileon users

Do not use Mailon to send confidential information. Other Maileon users can view your mailing. If you need to mail confidential information, use Outlook or another approved mail application.

Manage mailing lists in Mailon. Avoid creating ‘shadow’ lists on network drives, USB sticks or anywhere else outside Maileon.

Share any mailing lists you wish to add to Maileon with the data manager and they will ensure these are added.

Refer anyone asking to be removed from a mailing list to the unsubscribe link in the email. If there is no unsubscribe link, the mailing is mandatory and they cannot be removed from the list.

Contact the Maileon Application Management team at fb-bulkmailvoorziening@assc.leidenuniv.nl with any questions about the privacy guidelines. This keeps them in the loop and allows them to coordinate with the Privacy or Security Office.
