Retention and archiving of exam files

An exam file contains all relevant information about an exam or assignment and must be kept according to legal guidelines. This page provides the procedures for archiving exam files and the responsibilities of the examiner.

Retention obligation

There is a legal requirement to retain exam files, as well as exams and assignments submitted by students. Archiving is managed by the educational administration offices or, in the case of digital exams, in the systems where these exams were taken.

Written Exams and Assignments

The examiner compiles an exam file that includes:

  • The exam questions or assignment brief.
  • The answer model and/or assessment criteria used for grading, including any changes to the grading, with justification.
  • The submitted exams or assignments from the students.

The examiner submits the exam file to the educational administration along with the student grades.

Digital exam files

For digital exam files (e.g., in Brightspace or Ans), it is not necessary to physically hand them over to the educational administration. (Older exams taken via Remindo are still retained by the faculty in accordance with legal retention periods.) Ensure that digital files are complete, meaning they must include exam questions, answer models, and assessment criteria in the digital exam environment.

Once the digital exam file is available, for instance in Ans or Brightspace, you must inform the educational administration. For exams in Ans, you will receive a form that you need to complete and return to the educational administration.

Oral exams

For oral exams conducted with two examiners, only the assessment needs to be retained. If there is only one examiner present, an audio recording of the exam must be made. Recording equipment is available from the educational administration offices. Just like with written exams, you will submit the assessment from the two examiners, or the audio recording with the instructor's assessment, to the educational administration.

Theses/final projects

The forms related to the assessment of theses or final projects are stored digitally in the online thesis assessment system. The final, assessed version of the thesis is stored in the Student Repository.

Internships

Internship applications and evaluation forms are stored by the educational administration.
