Use safe tools

Using secure tools ensures that information and personal data are well protected. ‘Tools’ refers to software that can help you perform your work efficiently, such as email software or a file-sharing system. To quickly see whether a specific tool is permitted, check the tool picker!

Before purchasing any new tools, Leiden University checks to make sure that our research information, other information and personal data will be handled securely. When a tool has been approved, the university makes agreements with the supplier: for example, about the availability and security of the information that’s processed in the tool, and also about how the supplier handles these data.

You should therefore always check that the tool you want to use is approved by the university, for example by using the tool picker.

Don’t use your own tools

Never use your own tools or free software for your work. The university is responsible for the information and personal data that it processes: it is therefore important that they are managed by the university itself.

If tools are not managed by the university, it’s not clear what happens to the data or who has access to them. Another point about free tools is: you often pay with the information you put into them.

The tool I want to use is not on the list

Do you need a certain feature or tool to do your job properly? The feature may be available in a tool we already have. It may also be that a tool is available for one faculty but not another. If you can’t find what you need, the your ICT contact person can look into whether this can be purchased.
