Video: Sorting out your allowances is easy with Shuttel
It’s November, so from now on we will be using Shuttel to log our travel and homeworking days. Esther van Opstal (HR Director) and Karin van den Elzen (Finance Director) were closely involved in developing our new mobility policy and the updated travel allowance. They explain how they use Shuttel and why they are so keen.

Esther: ‘Our new mobility policy is greatly improving our employee benefits, especially now commuting to work by public transport will be covered. We often missed out on (scarce) talent in recent years because of our current travel allowance. So this makes us much more attractive to new staff too. A change like this will obviously take some getting used to. But it is better in many ways, not just for your pocket but also for sustainability. Shuttel makes you aware of your CO2 emissions because you can see them in your personal dashboard in the app and web portal.’
Karin: ‘It’s also an important step towards compliance because we will be working in a way that complies with laws and regulations. The tax authorities only allow us to pay expenses for actual homeworking and travel days. Until now we did that through a schedule in the Service Portal but that did not match people’s actual working week. Shuttel, however, records our actual travel and homeworking days and thus our carbon emissions, which means we meet our carbon reporting obligations.’
What are you going to use Shuttel for?
Karin: ‘I live in Leiden so like cycling to work. But if it’s pouring with rain, I’d rather take the bus. And Shuttel is also super handy for domestic business travel and my homeworking days. I always found submitting expense claims for train journeys really time consuming, what with having to submit supporting documents for the journey. That’s much easier now and you can sort out your allowances in no time in the app.’
Esther: ‘I also cycle to work and use my bike for business meetings in Leiden. My bike rides to other university locations in Leiden won’t be reimbursed but my train journeys to colleagues in The Hague will be from now. Although my bike trips under 10 kilometres won’t be reimbursed, I will log them so I can qualify for the additional kilometre allowance through the tax offsetting option in the Terms of Employment Choices Model.’
