General
Everyone with a paid employment contract at Leiden University will be invited to participate.
The employee experience survey is the successor to the Personnel Monitor and will be conducted once every two years. This survey is carried out in collaboration with our research partner Welliba. The survey offers not only a retrospective, but also insights for future changes, for example by providing information on themes related to work and organisation, but also by taking into account personal characteristics.
The invitation to participate will be sent out on 6 May 2025 by Welliba. If you have not received it, it could be due to one of two reasons:
- If you do not have a paid employment contract at Leiden University, you will not receive an invitation and you do not have to participate.
- If you do have a paid employment contract, the e-mail may have landed in your spam folder. This depends on your personal settings in Outlook. Find out how to fix this here.
The questions
We know from research that your perception of work is influenced by personal factors, such as how you feel about yourself, the connection you experience with others, and your resilience. That is why we ask about your energy level and sense of purpose, for example. Your online dashboard will give you insights into your strengths and areas for development. All answers are, of course, anonymous.
The employee experience survey consists of two parts. One part is about work pressure and social safety, while the other part is about topics such as working conditions, well-being, cooperation, communication, career development, and leadership.
At Leiden University, we focus attention on undesirable behaviour and work pressure, and we work with a risk inventory & evaluation to map and combat work-related stress. The Working Conditions Act states that employers must have such a policy and the Dutch Labour Authority is responsible for monitoring compliance with the Act. We are therefore legally obliged to conduct research into work pressure and social safety. These same questions are included by all Dutch universities in their employee surveys.
The 2022 Personnel Monitor included an additional questionnaire for PhD candidates. In the employee experience survey, PhD candidates no longer receive a separate questionnaire, but they can be highlighted in analyses at organisational level as a separate group of employees. There is also a national PhD Monitor that specifically zooms in on topics that concern PhD candidates.
Depending on your browser settings, the questionnaire will appear in Dutch or in English. You can change the language at the start of the questionnaire using the button at the bottom of the page.
Dashboards
The dashboard provides insight into how you completed the questionnaire and the aspects that are important for your own work experience and well-being. You will receive practical tips to get started yourself. You can decide what you want to do with these tips.
There is a separate dashboard for supervisors that provides insights and advice that you can use to work with your team. During the period of the survey, you will receive an e-mail from Welliba with a link to access this dashboard.
Supervisors can only see merged data and no individual responses. This is only available when a minimum of five employees from the team has completed the questionnaire. If less than five employees have completed the questionnaire, there will be no data available.
After completing the questionnaire, you will receive an e-mail from Welliba entitled ‘Welcome to your Welliba dashboard!’ with a link to the login page. Supervisors also receive an e-mail with access to the supervisor dashboard.
If you don't have this e-mail anymore, you can still log in via Welliba for employees. Enter your e-mail address and select ‘Continue usings SSO’. You can log in to the supervisor dashboard via Welliba for supervisors.
Welliba

You can use your account for as long as the university offers this service.

Privacy
Your privacy is fully protected. You remain the owner of your data, and Welliba manages your data for Leiden University. That is why you are asked to accept the terms and conditions at the start of the questionnaire. Welliba is an independent party specialising in employee experience surveys. Welliba uses advanced systems to process your data securely, and guarantees that it will never be shared with third parties. They comply with international standards in the field of information security.
HR receives aggregated data and insights from employees: for example data relating to a specific location, position, or role. This data shows trends in employee experiences and which specific themes require attention. No one other than you has access to personal results.
No. Your individual responses can never be viewed by your supervisor or HR adviser. Supervisors can only view aggregated data once at least five employees from their team or department have completed the questionnaire. If fewer than five employees have completed the questionnaire, no information will be available. However, the data will be included at the higher organisational level if the minimum threshold of five responses is met.
Yes, you can delete your data. To do so, please contact Welliba at privacy@welliba.com.
If you delete your account, your data will be deleted from the system, and you will no longer have access to your online dashboard. Your saved answers will be retained for analysis.
