Our new mobility policy will take effect from 1 November and you will need to log your commuting, domestic business travel and homeworking days in Shuttel. It is important that everyone who is employed by Leiden University does so, regardless of whether you work from home or travel to work by bike, car or public transport. So even if you live within 10 kilometres of your work, for example, or travel by private transport. This is because we are required to track the CO2 emissions of all our commuting and domestic business travel. You will also need to log your travel and homeworking days if you wish to benefit from a tax advantage through the Terms of Employment Individual Choices Model at a later date.

You will have received a mail from Shuttel on Wednesday 16 October asking you to register for the Shuttel card and app. Over 2,800 colleagues have already done so. Please note: do you want to use the Shuttel card to check in on public transport from 1 November? Register as soon as possible. It will take a few days before you receive the card at home.

Register in November, payment in December

Allowances for a particular month will now be paid with your salary in the subsequent month. So if you enter your travel and home working days in Shuttel on 30 November, you will see the allowances on your December payslip. You will therefore – as a one-off – receive no travel, homeworking or internet allowance with your salary on 23 November.

If you leave employment, this means you will receive your allowances from the previous month with your final salary payment.

Hard deadline: register travel and homeworking days by the last day of the following month

This is on the condition that you log your travel and homeworking days no later than the last day of the subsequent month. If you do not log anything or do so too late, you will not receive any allowances. This is a hard deadline with no exceptions. You therefore have until 31 December to log your November travel and homeworking days.

No changes to travel expense offsetting through the Individual Choices Model

Do you offset your travel expenses through the Individual Choices Model? Or will you apply for this by 30 November? Then your application will apply unchanged for the whole of 2024 and for both the ‘old’  travel allowance scheme up to October and the ‘new’ travel allowance scheme from November onwards.

Important dates: what to expect

• 16 October 2024: You will have received a first email from Shuttel asking you to register. If you have not yet received this, check your spam or junk mail folder and otherwise contact the PSSC. Once you have registered, the Shuttel card will be sent to your home within ten working days.
• 1 November 2024: Start using Shuttel to record your travel and homeworking days from this date.
• 20 December 2024: If you logged your travel and homeworking days in November, you will see your first Shuttel payment on your payslip.
• 31 December 2024: This is the deadline for logging your November 2024 travel and homeworking days in Shuttel.
