Extra security for sending emails with sensitive information

24 January 2023

If you wish to prevent messages from being read by a third party, you can use a sensitivity label in Outlook to encrypt your emails.

The default setting for a new email is without a sensitivity label. If you wish to encrypt an email, then you can choose this option. This applies both to a new message and for replying to an email exchange. To use this option, click on the Sensitivity option shown in the ribbon at the top of your message and select ‘protected’. With this setting, an extra authentication step will be included before the recipient can read the message.

The sensitivity label is available in Outlook Webmail and the locally installed Office 365 version of Outlook. This feature will not work if you still use Outlook 2016 or 2019, or if you use Outlook via Citrix (Remote Workplace).

Go to Knowledge item KI 4026 in the helpdesk portal for details and for the manual on how to use this feature.
